Corporate Events and Meetings Blog Notes....
September:
We just played an event in a tent outside the NCAA building downtown in Indy. The event planner did an awesome job in working through numerous logistics issues with an outside event, she even kept it from raining! What made this a bit unique and fun was that our band was the "Tonight Show" band for the event. This was an awards and recognition event. Our band played "walk on" music for each person. This added a unique and special touch to the event as each song was chosen for the person. It also made the event move along and made everyone feel like they were "winning an academy award". This turned a boring awards event into a fun exciting event for everyone. Many people came up to the band after the event and thanked us for adding the special touch to the event.
July:
Roof-top Party... talk about getting creative. A CPA firm is celebrating their 50th company anniversary and they have asked the band to play a client appreciation party for them. The have a parking garage right next to their building so they decided to have a roof-top party. What a great idea, the parking garage actually has a great view from the roof-top, plenty of space, and of course... plenty of parking! Being right next to their office, all their clients know how to get to the party.
A simple and inexpensive idea for a corporate event... of course... add live music!
November:
Look out! What is next door! This last week the band was asked to play a very elegant event for a financial services firm. This was a client appreciation event for their high end clients and our music was to make the event very special and unique for them. The event would start with the band playing for Cocktails in the lobby of the venue and then moving into the Ballroom during dinner. A perfect design.... however, the venue also booked a Piano Recital in an adjacent lobby during the same time. Ouch!
We see this type of thing happen often, when planning an event it is important to understand what else is going on at the venue during the same time to avoid conflicts, confusion with your guests, and other challenges.
Since we have seen this before, we spotted the other event and quickly went to the venue staff to work out a plan on the music. We could see that an "event train wreck" was going to happen and the venue would have two very unhappy clients. Because we brought this to the attention of the venue staff before both events started, the venue was able to make adjustments to both events and everyone was happy.
Find out what else is going on in the venue before, during, and after your event. It could save you some big issues....
September:
With many corporation seeing a slowdown from the economy, we are still seeing them need to get out and agressively market and sell their products and services. Organizations are certainly being more frugal on planning events and carefully considering each expense, but we also see more attention being paid to "building relationship" with customers. Better planned Cocktail Receptions that enable effective networking and relationship building are strategically important for organizations to retain current customers and start new relationships with prospective customers. We are seeing organizations spend more time planning and improving the effectiveness of these events to reap better bottom line results.
If you need ideas on how to make a better event, give me a call... we see many "best practices" being done on making these events work very well.
June:
A great group of people at Meeting Planners International (MPI) are having their annual awards events and golf outing. More information is on
www.mpi-indiana.org. We have been members of MPI for over one year and this year were awarded the "Shining Star Award" by MPI. It has been great to meet all the people and MPI and see how we can help them and their business be successful. Definitely an organization I would recommend... Hope to see you at a future meeting.

The International Special Events Society (ISES) is having their big special events show on May 6, 2009. This event named "Flaunt" is a hot trend show to see the latest trends in special events, decorations, entertainment and more.

As great as sound is at creating energy and impacting the mood of people, lighting has a great impact also. Yet we see many events where the focus is on the food. Successful event planners look at the whole environment of the event and will plan the pre-event experience, the post-event experience and great detail within the event itself including music styles, upbeat or quiet, lighting, room layout and many other important details that can really impact an event. Next event, don't forget the lighting...
